CV Board: Instruction for Recruiters
Your single working tool for recruitment is the CV Board in Jira + emails to successful candidates. You do not need to do anything else. Notification emails are sent by the system as you work on the CV Board. Status reports and Analytics dashboard will be created by an Atlassian Admin and are populated automatically.
Successful candidate's card is moved from left to right one step at a time.
Every time when status is changed, Assignee should add a comment explaining the decision.
If candidate is assigned “unsuccessful” status, the issue status changes to “resolved” and card disappears from the board. Resolved applicants cards do not disappear, they can be found in “Issues” tab (see Video below).
You don’t need to take any actions about unsuccessful CV screening applications, candidates will be sent a rejection email automatically after 48 hours.
If you assigned “unsuccessful” status by mistake, you have 48 hours to pull the card back to the board. Select the very first status column. In this case, rejection email will not be sent.
Assignee field can not be empty. Assignee is the one who is responsible for working with the application at a given step of the process. Same person can be assignee throughout the whole process, or assignee can be changed from step to step.
If there are more than one interviewer, select the second interviewer as a “Contributor”.
Successful candidates do not receive any automated emails. An Assignee should personally contact a candidate and invite them for an interview. You can use candidate emails templates and modify them. For 1on1 online interviews Calendly is recommended.
If interview was unsuccessful, Assignee should send an in-person message to the candidate. Do not send rejection message on the same day, but do it on the next day and maximum within 3 working days.
Make sure to leave your comments for the next Assignee after completing the interview (in accordance with this guide).
At each step, assignees and contributors get update emails. Reporter starts getting email notifications when a candidate is moved to “Hiring decision” or later status. If an unresolved application has been in the same status for more than 2 weeks, Assignee will get a reminder email.
